Rondesse OB Sales Tools Training

Objective:     
This article aims to provide guidance on tools navigation and how-to's which an Outbound Agent would need to fulfill their daily tasks.

Overview:
There are three tools which an OB Sales Agent would need to utilize while performing their daily tasks: Messaging, CRM, and Telephony, and Messaging. The list below shows each of them and their brief description
  1. Rondesse Mail -    Rondesse has it's own mail domain server to send and receive emails related to the business.
  2. Zoho CRM   -   This is the CRM platform used to manage Leads and existing customers. Access will be provided as soon as you start onboarding. 
  3. RingCentral  -  This is the telephony software used for doing outbound calls and sending/receiving SMS messages. Conference calls and online meetings can also be initiated from here. Access will be given during onboarding. The softphone app can be downloaded from here: https://www.ringcentral.com/download.html


Tools Navigation and Usage:

I - Rondesse Mail
  1. Communicate all pertinent business emails through your Rondesse mailbox.
  2. Email access (username and password) will be provided to you during onboarding
  3. Webmail can be accessed through: mail.rondesse.com

II - Zoho CRM
  1. Leads are assigned to you in Zoho CRM in the "Leads" Module. To access the module, you can find it in the top navigation bar of Zoho CRM. If it's not there, then click the 3 dots to show more of the available modules and search for "Leads".


 

       Uploading Leads        
  1.  To upload the leads in bulk, click "Create Lead" then select "Import Lead".


    2.  Click "Browse" to upload your CSV or XLXS file. Click "Next".

    3.  Select "Add as new leads" then click "Next"

   4.  Match the columns in your spreadsheet with the fields in CRM Leads Module. Note that there are mandatory fields being:
  1. Ad Campaign:  You would need to add this column in your spreadsheet. Indicate the appropriate Ad campaign as instructed. 
  2. Contact Reason:  You would need to add this column in your spreadsheet. Indicate "-None-" in your spreadsheet.
  3. Status: You would need to add this column in your spreadsheet. Indicate "New/ Untouched" in your spreadsheet.
  4. Lead Source: You would need to add this column in your spreadsheet. Indicate the appropriate Lead Source as instructed. 
***When uploading leads, it is advisable to add a column in your spreadsheet for "Lead Owner" so you can assign the leads in bulk upon import.

  5.  Click "Next" to proceed.

      Filtering Leads
  1. To easily see all leads assigned per user, leads can be filtered via "leads owner".
1.       Go to the "Leads" Module.
2.       Under "Filter Leads By", type "Lead Owner".
3.       Type your name and click "Apply Filter".




III - RINGCENTRAL

1. Download and install the RingCentral app from here: https://www.ringcentral.com/download.html#sms-invitation-country-not-found
2. Credentials (Username and Password) will be provided to you during the onboarding process.
3. To make an Outbound call, click the "phone" icon on the left sidebar:


4. A dialpad should show and you can enter the numbers as usual.
5.  To send an SMS click the "Text" icon and compose and send your message as usual.
